Start with the fire risk assessment
The fire risk assessment for the common parts sets out what the block needs and how often it must be checked. Everything below should line up with it. If it's out of date, or the building has changed, get it reviewed first.
The checks, and how often
- Fire alarm: weekly call point test on site, and a service by a competent person at least every six months under BS 5839-1. Keep the log book up to date.
- Emergency lighting: a monthly function test, and an annual full-duration test (usually three hours) under BS 5266-1.
- Fire doors: in blocks over 11 metres in England, communal fire doors every three months and flat entrance doors every year, under the Fire Safety (England) Regulations 2022. Lower blocks follow the fire risk assessment.
- Smoke vents (AOVs): tested regularly and serviced by a competent company, ideally alongside the fire alarm that triggers them.
- Fire extinguishers: where provided, serviced every year under BS 5306-3.
- Door entry, access control, CCTV and gates: not always fire safety, but residents notice quickly when they fail. Automated gates also need safety checks against the DHF code of practice.
The records to keep
- Certificates for every service, in one place per block
- Log books for the fire alarm and emergency lighting
- Fire door inspection reports, with photos of any failures
- Evidence that faults were fixed, not just found
Making it easier
- One contractor per block: one visit plan, one certificate pack, one renewal date.
- Section 20: long-term agreements can trigger consultation with leaseholders. Ask for clear, itemised pricing per system.
- Taking over a block? Get a health check of every system before the first service, so you inherit a known position, not someone else's problems.
