What we collect
- Enquiries: your name, phone number, email address, site address and details of what you need, when you request a quote or a visit, call us or email us.
- Customer records: contact and site details, details of the systems we look after, service and test records, certificates, photos taken during visits, quotes, invoices and payment records.
- Keyholder and monitoring details: for monitored alarms, the names and phone numbers of the keyholders you give us, which we share with our alarm monitoring centre.
- Website data: if you accept analytics cookies, information about how you use this website, such as pages viewed, the device and browser you use and your approximate location.
How we use it, and our legal basis
- To respond to enquiries, quote and carry out work: to take steps you ask for before a contract, and to perform our contract with you.
- To keep compliance records and certificates: to perform our contract and to meet our legal and regulatory obligations, including the standards our certification bodies audit us against.
- To invoice, take payment and keep accounts: to perform our contract and to meet legal obligations such as tax record-keeping.
- To send service reminders and visit notifications: to perform our contract, and in our legitimate interest in keeping your systems in date.
- To improve our website: with your consent, through analytics cookies.
We do not sell your information, and we do not use it for marketing from other companies.
Who we share it with
We only share what is needed, with organisations that work for us and must keep it secure:
- Our job management, accounting and payment software providers
- Our alarm monitoring centre, for monitored systems
- Our website host and, if you consent, Google Analytics
- Our certification bodies, when they audit our work
- The police or other authorities where the law requires it
Some of these providers may store data outside the UK. Where they do, appropriate safeguards are in place as required by UK data protection law.
How long we keep it
- Enquiries that don't lead to work: up to 2 years.
- Customer, service and compliance records: for as long as we look after your systems, and then for 6 years, so records are available for insurance, legal and audit purposes.
- Financial records: 6 years, as required by law.
Your rights
You have the right to ask for a copy of your information, to have it corrected, to have it deleted or its use restricted where the law allows, to object to how we use it, and to withdraw consent at any time. Contact us using the details above. We will reply within one month.
If you're unhappy with how we've handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
